ASSISTANT PROPERTY MANAGER

Reports to: Senior Property Manager
Responsible for monitoring the accuracy of Property Management records, tracking tenant payments & gross sales, participate in and coordinate annual bidding process of property services for operating budgets, quarterly CAM and semi-annual tax billings, responsible for comprehending, monitoring and updating reports related to property and tenant issues. Support all Team Members, tenants and vendors with questions and concerns related to the portfolio. Strong focus on customer service in responding to tenant complaints, assistance for service and questions related to their respective property and account. Coordinate special projects as directed by the Director.
Responsible for accurate administration of commercial retail lease files and operating document files and, at the direction of PM or SPM, abstracting of same.
Under PM or SPM direction - ensures timely and accurate tenant billings of rent, including any increases/adjustments, quarterly CAM receivables and tax billings and timely collection of the same.
Under PM or SPM guidance – prints and distributes operating reports as per department policies and procedures (variance reports, gross sales reports, insurance reports, rent rolls, legal reports, etc.)
Runs portfolio Aged Receivables on 10th of each month, makes tenant calls for rents not yet received, meets with PM or SPM by 12th to review AR.
Under PM or SPM guidance – issues defaults, 3-day or 5-day notices to pay or quit, rent increase/adjustment notices and other necessary tenant correspondence.
Under PM or SPM guidance - responsible for performing and overseeing assigned property inspections, creates reports and coordinates vendor maintenance, repairs and bids, as needed.
Under PM or SPM guidance – coordinates preparation and distribution of annual tenant notices of prior year CAM reconciliation receivables or credits, including all necessary backup discs to Majors.
Under PM or SPM guidance – coordinates preparation and distribution of tenant notices of new Budget Year operating expenses & monthly NNN adjustments.
Under PM or SPM guidance - coordinates with other departments (acquisitions, dispositions, construction, accounting, finance and leasing) in relation to property management function. (i.e. preparation of tenant move-out forms, posting of notices of non-responsibility, write-off requests, submission of lease abstracts prepared and/or approved by PM or SPM, printing & submission of monthly financial reports once completed and approved by PM or SPM
Establishes and maintains excellent working relationships with all tenants and vendors as required.
Manages accurate record keeping of all data for properties, tenants and vendors including filing and follow up systems.
Trains property administrator and temporary staff in department processes and procedures as needed.
Under PM or SPM guidance - Works with new tenants to ensure timely opening and rent commencement
Bachelor's degree (B.A.) from four-year college or university (preferred); or 2 years related experience and/or training; or equivalent combination of education and experience
Proficiency with Microsoft Office: Must be able to create reports, analysis and budgets. Calculate figures, discounts, interests, commissions and percentages.
Knowledge of Yardi.
Strong written, verbal and presentation skills
Ability to write reports, business correspondence, and procedure manuals. To present information, respond to questions, and interact with managers, supervisors, customers, and co-workers.
Organizational, analytical and problem solving skills, along with excellent attention to detail. Must be able to prioritize work to meet deadlines and strategic goals
Able to work independently with a minimum of supervision. And to exercise discretion in confidential matters
Ability to read, analyze and interpret general business periodicals, technical procedures or governmental regulations a long with commercial leases
