Call Out: Dutch Bros is looking to hire a motivated and skilled individual with significant experience in property management and lease administration to manage the growing portfolio of property owned and leased by Dutch Bros. corporate. A qualified candidate will have direct experience in managing a commercial property and lease portfolio including a thorough understanding of commercial lease and real estate law and real estate finance and accounting, plus excellent project management and dispute resolution skills. This position could involve travel and evening and weekend work.
Tasks & Responsibilities:
This role is responsible for supporting the following areas of the Legal Department with guidance and general oversight from the General Counsel (“GC”) and Finance Department:
Perform intake of new lease and sublease agreements in Lucernex by entering and maintaining accurate information.
Create lease abstracts of all leases and maintain and track lease terms in Lucernex.
Prepare reports and analysis of leases as requested by internal departments including finance, real estate, construction, and legal.
Administer lease commencement procedure and coordinate with facilities and finance department to ensure accurate commencement documentation and payments.
Respond to and resolve questions or issues brought forward by franchisees, operators, landlords, or tenants with respect to Dutch Bros. leases.
Manage lease renewal process including negotiating favorable renewal terms.
Coordinate lease termination and expiration process with legal, facilities, and real estate departments.
Conduct annual audits and data validation of lease agreements and Lucernex lease database.
Work with legal, real estate, and facility management teams to evaluate and respond to site issues, including repair and maintenance requests, disputes with landlords and neighbors over property use, and third party inquiries or complaints.
Prepare quarterly expense reports and CAM reconciliations for finance.
Serve as a Dutch Bros. Legal Department’s representative with landlords, property owners, tenants, government agencies, and other third parties with respect to site issues.
Primary point of contact for tenants and landlords with questions about leases.
Assist Insurance Department with tracking insurance certificates for landlords, tenants, and licensees.
Assist with legal requirements of site remodels and upgrades.
Locate tenants or subtenants as needed to fill space owned or leased by Dutch Bros.
Lucernex Contracts Module Management
Work with Director of Legal Operations to manage Legal Department’s Lucernex workflows.
Develop custom reports and tools for maximizing utility of Lucernex Contracts module.
Ensure scrupulous compliance with system process and standards for the protection of the company.
Minimum of high-school education and two-years of college with a focus in business or accounting. Must have five or more years of experience managing a real estate and lease portfolio including keeping lease management database up to date, preparing lease abstracts, managing lease renewals, resolving property disputes, performing CAM reconciliations, and coordinating and tracking repairs and improvements. Additional helpful skills would include the ability to review title reports, track due diligence, and assure timely execution or closing of real estate transactions. Excellent communication and computer skills also required. Experience with the Lucernex Lease Administration and Accounting module would be a significant bonus.
