The Senior Property Manager is the primary liaison between the company and tenants responsible for all physical issues concerning the properties. The Senior Property Manager is often the “face” of the company - expected to represent the Company with unsurpassed professionalism and integrity. The Senior Property Manager is expected to demonstrate the Company’s Core Values and Beliefs in all dealings with others. An effective Property Manager is project-oriented, has friendly, “firm-but-fair” tenant relationships, is exceptionally organized and able to manage multiple tasks, is well-connected in the communities where the Company operates, has a working understanding of the financial aspects of commercial real estate, construction, landscaping, and property maintenance, has an eye for detail, is an effective negotiator, and has the ability to make things happen with relentless follow-up.
This position is responsible for the management of multiple Class A commercial real estate properties. The responsibilities shall include, by way of illustration but not limited to, the following:
Property Maintenance and Operations
The Senior Property Manager is responsible for bringing a sense of customer service and hospitality to the way the properties are managed with a view to differentiating the experience of our tenants and their guests vis-a-vis other buildings within the market.
The Senior Property Manager manages third-party vendors and suppliers to keep the properties operating in a first-class manner. This includes, but is not limited to vetting new vendors, obtaining bids, contract negotiation and project oversight.
Lease Compliance/Rent Collections
The Senior Property Manager confirms and ensures tenants are operating per their lease obligations.
The Senior Property Manager manages and monitors the collection process, working with both the management team and attorneys on collection escalations.
Timely rent collection is a key performance indicator for this position.
The Senior Property Manager oversees and manages all Landlord Work and coordinates tenant improvements, working with new tenants to ensure timely completion of all work.
Working with Finance, the Senior Property Manager coordinates annual budgets, 5-year capital expense projections, and operating expense reconciliations for each of their properties.
Tenant Relations and Communication
The Senior Property Manager is the primary source of communication with tenants and is expected to be on a first name basis with the tenant-owner or manager.
The Senior Property Manager continuously collects and reviews sales activity and through developing relationships with the tenants having a clear understanding of the tenants’ needs, health, and ongoing viability.
Property and tenant files are maintained by the Senior Property Manager.
The Senior Property Manager enforces tenant insurance requirements per the lease and ensures compliance across their allocated portfolio.
The Senior Property Manager selects and manages all vendors for the assigned properties.
The Senior Property Manager approves all property expenses, codes to the appropriate general ledger account and monitors accounts for accurate payment and coding.
Lender and Insurance Inspections
The Senior Property Manager coordinates lender and insurance inspections as may be requested.
Property Tax Appeals
The Senior Property Manager partners with Finance on property tax appeals, supplying the necessary information to the consultant, CFO, and owner.
The Senior Property Manager is responsible for seeing that all vacancies are in the condition required for prospective tenant tours.
The Senior Property Manager will update Monthly Operating Reports for all properties and work closely with Finance on monthly and quarterly financial reports (including monthly variance analysis of performance to budget).
Combination of equivalent education and experience necessary to effectively perform the above responsibilities.
Minimum of 5 years of property management experience.
Self-directed and motivated individual comfortable working in a collaborative environment.
The successful candidate will have incredible attention to detail and understand the importance of presenting the properties and our associates in an impeccable manner.
Excellent judgment and the ability to make decisions in a timely manner is a pre-requisite.
Strong analytical skills and a firm understanding of the financial mechanics of commercial real estate.
Ability to communicate effectively, both orally and in writing, with all levels of management, staff, business representatives, vendors, and especially tenants.
Proficiency in MS Office and industry software.
Must take a hands-on approach to managing properties
