Our client, a national retailer, is seeking a retail Lease Administration Manager in Atlanta, GA.
Responsible for ensuring all of the following functions are performed effectively and efficiently:
Manage/lead the team and third-party vendors to perform lease administration functions responsible for an expanding portfolio of over 1,200 store and corporate leases.
Work collaboratively with the Real Estate, Legal, Operations, Retail Finance, and Property Management teams on a day-to-day and special project basis.
Responsible for administration, coordination, and recordkeeping related to monthly portfolio management meetings; collaborate with Real Estate team to prepare for and implement decisions made at monthly Real Estate Committee meetings, including review of existing radius restrictions.
Prepare and deliver lease extension, notice and termination letters on behalf of Company.
Develop and maintain best practices for processing lease documents in a timely and accurate manner.
Supervise the preparation, routing for signature, distribution, follow-up, and tracking of real estate related documents.
Supervise and review the abstraction of lease documents and ensure timely database updates.
Develop and maintain an efficient system to track lease related critical dates (renewal, termination/cancellation, and sales kick-outs).
Supervise the day-to-day coordination of signed leases and amendments, ensuring lease file data integrity and compliance with lease terms.
Partner with business partners to interpret and explain lease terms for informed decision making.
Supervise and track the collection of tenant improvement funds, and processing of Estoppel and SNDA requests.
Identify, enforce and track co-tenancy/exclusive violations, and default letters through resolution.
Serve as the primary Company contact for landlords, and manage the preparation of any requested reports for the portfolio. Serve as primary Company contact and administrator for lease management software platform.
Develop and maintain yearly occupancy costs and cost savings reports. Implement and execute CAM, Tax and Insurance reconciliation and audit process.
Experience and Skills:
Bachelor's degree required.
5+ years of experience (10 years preferred) in retail lease administration (experience with high-volume portfolios preferable).
Ability to manage employees and third-party vendors, while working well in a fast-paced team environment.
Knowledge of Lease Administration software systems (Co-Star, etc.); Microsoft Word, Excel and PowerPoint.
Ability to read and interpret legal documents such as leases, amendments, estoppels, and SNDAs.
Ability to analyze detailed CAM statements and identify savings opportunities.
Ability to communicate effectively to management, peers, staff, and landlords, and generate routine and requested reports
