The Property Coordinator will be responsible for coordinating daily activities for our Dallas portfolio and will collaborate with various groups including both internal and external partners, as well as, support the General Manager and Assistant General Manager. The ideal candidate will be a team player, detail oriented, and focused on building relationships.
Duties and Responsibilities:
Maintain electronic and hard copy filing system. More specifically, tenant and vendor lease files, notice letters, tenant sales and other communications or pertinent correspondence.
Prepare all new tenant utility transfer logs.
Receive and respond to routine inquiries and act as a conduit for tenant/vendor requests.
Manage monthly billing process for all tenants ensuring communication of, and payment for all invoices.
Prepare and modify documents including correspondence, reports, drafts, memos and emails to both tenants and contracted vendors.
Maintain tenant and vendor contact lists, updating quarterly or as needed.
Maintain Emergency Response Plan and Property Response Plan quarterly.
Manage COI process for both tenants and vendors from beginning to end.
Act as a contact person for external clients, vendors, tenants.
Collect and track monthly sales reports for tenants. Keep detailed contact sheet to identify point person for each retailer and provide a recap of notes monthly.
Manage new tenant process by providing letter communication on key dates including date of possession, rent commencement, welcome packet, etc.
Manage invoice coding system, track progress and verify payment of invoices.
Prepare and distribute tenant memos.
Assist in managing various components of our work order system as needed. Specifically, monitoring for open work orders, reoccurring tickets, etc.
Act as point person for mass distribution system and distribute periodic email updates to tenant groups.
Manage the annual distribution of the Operating Expense Reconciliations
Disseminate tenant after hours HVAC requests to appropriate parties.
Track utility usage and consumption via a tracking sheet.
Education / Experience
Bachelor's degree preferred
Two to five years of operational / administrative experience within the real estate industry
Ability to work in a fast-paced environment
Strong oral and written communication skills
Proficient in Microsoft Office
